Welcome to Smart Bills, a service provided by CraftingHR Software Solutions LLP (“Company”, “we”, “our”, or “us”). These Terms of Service (“Terms”) govern your access to and use of our website, applications, APIs, and any related services (collectively, the “Service”).

By using Smart Bills, you agree to be bound by these Terms. If you do not agree, you may not use the Service.

Description of Service

Smart Bills is an AI-powered platform that extracts structured data from invoices and provides access to this data via dashboard, APIs, and webhooks. The platform supports file uploads and integration from external sources.

User Accounts

You must create an account to use the Service.
One user is allowed one account only. Duplicate accounts may be suspended or terminated.
Account sharing is strictly prohibited.
You may request account deletion at any time.

Plans and Billing

Free Plan: 25 credits to evaluate the platform.
Paid Plans: As listed on the Pricing page.
Payments are accepted via Razorpay and PayPal.
Plans may be billed monthly or annually.
Credits and usage limits vary by plan.
Failed payments will result in service suspension after 30 days.
Subscriptions are auto-renewed unless canceled before the next billing cycle.

Cancellation and Refunds

You may cancel your subscription at any time through your account dashboard or by contacting support.
Cancellations take effect at the end of the current billing period.
No refunds are provided for partial billing periods once payment is processed.
The service remains active until the end of the paid term after cancellation.
Free trial users may cancel at any time without charge.
Upon cancellation, your data will be retained for 30 days before permanent deletion.

Uploads and Storage

Maximum file size: 10 MB per upload.
Total storage depends on the subscribed plan.
Uploaded invoices are stored in AWS S3.
File processing may involve AI-based extraction, which may result in inaccuracies. Users must verify the extracted data.

Usage Restrictions

You may not:

Use the Service for illegal or unauthorized purposes.
Reverse engineer or copy the Service.
Circumvent usage limits or create multiple accounts.
Upload or distribute malicious content.

We reserve the right to suspend or terminate accounts for misuse or policy violations.

AI Limitations and Disclaimer

Smart Bills uses AI to extract data. AI may make errors, and extracted data should not be relied upon without human verification. We are not liable for any consequences arising from incorrect extraction.

Uptime and Service Levels

We target 99.95% uptime but do not guarantee uninterrupted access. Downtime, maintenance, or technical issues may affect availability.

Data Ownership & Privacy

You retain ownership of your data.
We store your data securely and provide options to export or delete it.
We do not share your data with third parties without your consent, except for storage (e.g., AWS) and analytics.

Termination

You may terminate your account at any time by canceling your subscription. Upon termination, your account will remain active until the end of the current billing period.

We reserve the right to suspend or terminate accounts for violations of these Terms or misuse of the service.

Modifications to Terms

We may update these Terms at any time without prior notice. Material changes will be communicated via email.

Governing Law and Dispute Resolution

These Terms are governed by the laws of India.
All disputes shall be subject to binding arbitration in Mumbai, as per the Arbitration and Conciliation Act, 1996.
Class-action lawsuits are not permitted.

Trademark and Intellectual Property

"CraftingHR," "Smart Bills," and their logos are trademarks of Crafting HR Software Solutions LLP. You are not permitted to use these trademarks without prior permission.

Disclaimer of Warranties

The Services are provided "as-is" and "as-available." CraftingHR makes no warranties regarding the uptime, security, or reliability of the Services.

Indemnification

You agree to indemnify and hold harmless CraftingHR, its employees, and affiliates from claims arising from your use of the Services in violation of these Terms or applicable laws.

Limitation of Liability

CraftingHR will not be liable for any indirect, incidental, or consequential damages, including loss of business or data, resulting from the use or inability to use the Services.

Communications

You agree to receive service-related notifications and announcements from us via email. However, you may opt out of receiving newsletters.

Inactive Account Policy

Unpaid accounts with no activity for 90 consecutive days will be terminated, and all associated data will be deleted. Prior notice will be sent via email to provide you with an opportunity to back up your data.
